Entry Management & People Counting at Agri-Expo 2024

Client: Ministry of Agriculture, Land and Fisheries, Trinidad and Tobago

A data-led approach to zone engagement, movement tracking, and crowd control by Royalty Club Ltd.

When you’re managing an event with nearly 50,000 attendees, visibility matters. At TT Agri-Expo 2024 in Trinidad and Tobago, Royalty Club provided entry management and people counting services that helped organisers stay ahead of the crowd—literally. Through live tracking, zone-level analytics, and smooth gate operations, we delivered insight-driven support for one of the country’s largest public events.

Real-Time People Counting and Traffic Flow Insights

Using strategically placed sensors and manual oversight at key entry and tent locations, we delivered zone-by-zone engagement tracking and live entrance tallies. This allowed event stakeholders to understand not just how many people attended, but also when they arrived, where they went, and how long they stayed.

Our analysis revealed clear behavioural patterns. For example, Friday’s attendance peaked between 1 PM and 2 PM, aligning with lunch breaks and school dismissals. Saturday and Sunday showed heavier traffic in the afternoon and evening, with Sunday reaching the highest peak at 2,099 persons within a single hour.

Sunday saw the highest hourly foot traffic, with over 2,000 patrons between 5 PM and 6 PM

This data helped guide live adjustments to zone staffing, vendor expectations, and activity scheduling. It ensured that headline events and key demonstrations took place when audiences were most engaged.

Measuring Zone Performance

Beyond overall headcounts, we also monitored the relative popularity of the event’s core areas. Allamanda Yard (Tent B) consistently recorded the highest engagement across all three days. Zones such as Ginger Lilly Lane (Tent E), Buttercup Bloom (Tent G), and Heliconia Haven (Tent A) had lower comparative traffic, providing valuable insight for future layout planning.

These insights now serve as a baseline for planning layout, vendor placement, and activation strategy at future editions.

Entry Management & Patron Profiling

Our team also managed gate-side operations, including wristband distribution, shift-based staff scheduling, and real-time entry capture. Despite record attendance, over 25,000 on Sunday alone, entry remained efficient and organised.

This aspect of the project was led by Aaron Rocke, with the people counting solution executed in partnership with SageRD®, who provided the hardware and support for accurate, real-time tracking.

In addition to entry volume, we captured a representative demographic sample of attendees:

  • Most were between 35 and 44 years old
  • Women made up nearly two-thirds of all patrons
  • The top geographic sources were Port of Spain, San Juan/Laventille, and Diego Martin

The Machinery Zone saw a steady stream of foot traffic across all three days, peaking on Sunday evening.

This information informed the Ministry’s post-event reporting and lays the groundwork for more targeted outreach and accessibility in future editions of the Expo.

Why This Matters

Successful large-scale events depend on more than just strong turnout. They require an understanding of how people move, when they engage, and what improves their experience. Our people counting and entry management solution at Agri-Expo 2024 delivered exactly that, real-time visibility, efficient crowd handling, and meaningful audience insights that informed both daily execution and post-event review.

For clients, this means more than numbers. It means smarter planning, smoother operations, and events designed around real human behaviour, not guesswork. That’s the value of working with a team that brings both creative instinct and structured insight to the table.
